Registration Information

PLEASE READ THIS INFORMATION AND OUR FAQ CAREFULLY!

We now have two annual retreats: July and October. The themes and/or designers will be announced before registration opens. *Whether or not you stitch a designer we spotlight, you are ALWAYS welcome to come party with us!*

General Retreat Info:

We have space for 144 attendees and offer spots based on a lottery system. Retreat cost is $275 per person. 

Registration opens at 10am eastern on the announced day. We will email a form link to our mailing list and post it in our Facebook group, as well as on all of our socials. (If you wish to be added to our mailing list, please see the front page of this site to find our newsletter sign up.)

You will have 24 hours to sign up (from 10 am EST on registration day to 9:59 am EST the following day) to be in the lottery for a spot. We will not start drawing names until after that initial 24 hour period. We do this so that no one feels rushed or feels obligated to change their schedule in order to sign up. No FOMO here! lol

Important: Please take your time filling out the google form! Make sure your email address, your name, and details are correct. Taking the extra few minutes to ensure your information is accurate will make our jobs much easier! If your email address is incorrect and bounces back to us as undeliverable, we will move to the next name on the list to offer the spot. Please make sure to check your spam folder as well!

We will not be accepting new forms after the initial 24 hour period. Anyone not chosen for a spot will automatically go on our waiting list. We do not add new names to our waiting list once registration is over so please make sure to sign up within the first 24!

If your name is drawn, we will email you a spot offer with instructions to pay. We hope to have all emails sent within a week of registration. We accept PayPal (friends and family) and Venmo (gift). If we do not receive payment or communication from you within the payment time period, we will choose another name from our waitlist.

Registration for Chatelaine Weekend, July 23-25, 2026: 

Opens 10am eastern on 8/15/2025, payment due by 9/1/2025, 80% refunds available until March 1, 2026

Registration for October 2026, A Celebration of Teresa Wentzler, (dates TBA)

Opens 10am eastern on 1/1/2026, payment due by 1/15/2026, 80% refunds available until July 1, 2026

REFUND POLICY

If someone from the waitlist is available to take your spot, refunds for our Fall retreat will be issued at 80% of the retreat cost prior to July 1st (The deadline is March 1st for our Summer Chatelaine Weekend retreat). 

No refunds will be issued after these dates for any reason.

Spots at the retreat are not transferable; you may not sell or transfer your registration to another person.

Here’s the tough one: things happen. After the last few years we all know this. Due to the time and expense we spend on organizing this event, we will not offer refunds or discounts if things don’t go as expected, this includes if a guest artist is unable to attend. We will still have a totally awesome retreat and take advantage of the opportunity to spend time with stitchy friends!

What do you get for registering?

Registration is $275 and includes:

-Your seat at the table, two and a half days of stitching, hanging out, and partying. (We have 6 people at each table for optimal space to spread out all your stuff! )

-Access to a super amazing artist (if scheduled to appear) including a meet and greet, a Q&A, AND maybe possibly some extra special secret designer perks.

-A QCSR tote bag filled with awesome stitchy things (These bags will be provided to those in attendance only.)

-A retreat exclusive pattern, designed by our guest designer OR a special gift if we do not have one scheduled. 

-Optional opportunity to participate in our smalls/scavenger hunt exchange!

-Trade your needleminders on our Needleminder Trading Board!

-Mark those memories in our QCSR Photo Booth (complimentary)

-Optional chair massages by Wildflower Massage Therapy LLC ($20 cash for 15 min)

-A small lighting setup kiosk for our Flosstubers, get that retreat footage for your next episode!

-Shop with our vendors!  Oak Crown Studios will be on hand with their gorgeous hand dyed fabrics. Additional vendors will be announced as they are added.

-Access to our online merch shop for QCSR t-shirts and hoodies

-Giveaways, prizes, and raffles! Attendees will find complimentary raffle tickets in their welcome packet. Additional tickets may be purchased. 100% of all raffle proceeds will be donated to a local organization we will be announcing soon!

-Super awesome stitchy games!

-Exclusive Sunday shopping at The Stitchin’ Kitten in Irmo, SC. An amazing LNS about an hour and a half south of Charlotte, they open just for attendees to shop! This is optional, you must find a ride to and from TSK. We usually have small groups that have room for one more! We highly recommend this beautiful shop!

*Amy and I know how nerve wracking attending a retreat can be and we want everyone to feel as comfortable as possible so we also include the following:

-Monthly attendee-only Zoom hang outs between registration and retreat time!

-Access to our attendees-only Facebook group and chat! Get to know some names and faces beforehand!

Will there be a wait list?

Yes, we will maintain a wait list for the event, however, the names on that list will only be those that signed up in the first 24 hours.

Lodging and Accommodations

Please note your registration fee does NOT include lodging nor food.

After an attendee has paid, they will be provided with a link to our room block at the retreat hotel. We love staying at the beautiful Courtyard by Marriot Charlotte Waverly. Walk down from your room right into all the retreat action! There are multiple shops, restaurants, and gas stations surrounding our hotel as well as a post office across the street (for all you professional shoppers!)

Please see our hotel page on this site for more information and please do NOT book a room until you are officially offered a spot and have paid. We will post when the room block is open for reservations.
